Dear Accepted ASP Colloquium participant,

On behalf of the Advanced Study Program (ASP) at the National Center for Atmospheric Research (NCAR), and the Pennsylvania State University (Penn State), we are pleased to inform you that you have been selected as a fully supported participant in the ASP summer colloquium "Regional Biogeochemistry: Needs and Methodologies," to be held 3 June to 15 June 2007, at the Mesa Lab of the National Center for Atmospheric Research in Boulder, Colorado. During the two weeks we expect to conduct a series of lectures and tutorials each weekday, along with other planned activities.

Please prepare a poster, not to exceed 4'x4', highlighting any aspect of their research or research proposal related to the colloquium. These posters will be presented on either Tuesday or Thursday of the first week (25 on each night).

NCAR has arranged for lodging for out-of-town participants at the Stearns Tower of Williams Village available at the University of Colorado (CU) on 30thStreetand Baseline Roadin Boulder. Rooms will be Double occupancy with community bath facilities. Participants will be paired according to gender. All rooms are non-smoking. Meals included are breakfast and dinner and will be served in the WilliamsVillage, Darley Commons Dining Hall (weekdays only). Unless we provide dinner, you will receive a perdiem of $27/day on weekdays. Lunches will be at the Mesa Lab cafeteria and paid by you. Weekend per diem will be at a rate of $54.00 per day.

We will expect you to arrive on Sunday, 3rd June, in time for the registration and reception (dinner, 5-7:30 P.M.) and will be held on the patio at WilliamsVillage at the CU-Boulder housing campus, at 30th and Baseline Street. Please email your itinerary to me, which indicates your arrival and departure date and times, within two weeks prior to arrival. Bring all transportation receipts with you on Sunday. Please let me know if you won't be able to arrive in time to attend the reception.

The Pennsylvania State University (Penn State) will be paying for your air and ground travel, please contact Diane Yoder at: dyoder@meteo.psu.eduor Tel: 814-863-7326 / 814-865-0478 to make travel arrangements with her, or to confirm a preferred itinerary before purchasing. The colloquium will begin at 8:00 A.M. on Monday 4 June, and will end by 4 P.M. Friday, 15 June. You can plan to depart directly after the colloquium adjourns, or Saturday morning, 16 June.  Transportation between WilliamsVillageand NCAR will be provided each morning and afternoon by a CU bus. Be sure to note departure times (provided at registration) and meet in front of the Darley building at the bus stop curb each morning. There is on-site parking at the dorms for regional travelers and I have requested a few parking passes for people requiring them, so be sure to let me know ahead of time and ask for one when checking in, otherwise you will be charged and be responsible for paying yourself.

Some of you have specific queries regarding complex travel plans or issues/additional paperwork needed for reimbursement due to policies of your employer. Diane has been made aware of most of these exceptions; however, you should contact her directly to work out these issues.

Flights

 You have three options for booking flights:
    1) You can book and pay for your own flight and get reimbursed. To do so, you will need receipts stating an exact itinerary with an exact cost and payment method.
    2) You can send Diane Yoder an exact itinerary and she will purchase it for you.
    3) You can have Diane Yoder search for flights and purchase for you. Please contact her directly if you'd like to initiate this process.

If you plan to travel by air, we ask that you purchase your coach ticket at least two weeks in advance or earlier to obtain the most reasonable fare. You MUST purchase your ticket using a U.S. Carrier and flight number, if one is available in your area. Otherwise, please state the reason in writing; the dates of which a U.S.carrier is not available and between which countries or cities. (i.e. There are no U.S.carriers within such and such country) Convenience is not acceptable reason.

Required reimbursement forms will be available at the colloquium for air and ground travel.

There are shuttles from the DIA airport to Boulderand the CU Williams Village Dormitories (approximately 45 miles) for $52 (http://www.yellowtrans.com/dia_denver.htm), and PennStatewill reimburse you for this round-trip expense (save your receipts). When reserving, be sure to let them know that it is part of the CU campus which is rated differently than area hotels.

We would appreciate hearing from you by 23rd May at the latest arrange your travel.  In your reply please answer the following questions:

1)        Please confirm that you will be staying at the CU dorms, and if you would like to room with a specific person.

2)        For Foreign travelers, if you arrive a day early on Saturday, June 2nd you will have to get a room for one night at the Broker Inn across the street from the CU dorm. Please let me know if this is something you will need to do.
